Studio Operations Manager

We are seeking an operations manager to join our team! If you’re super-organized, tech-savvy, with excellent project management skills, strong interpersonal skills, and computer proficiency in: MS Word, Excel, QuickBooks, Power Point, and Squarespace, then you may be the perfect fit. Garden experience not required, but interest in garden and design a plus.

Daily Responsibilities Include (but not limited to):

  • Client and vendor communications: frequent engagement with clients and contactors by email, phone and in person

  • Calendar Management: schedule client meetings, consultations, events, and appointments

  • Develop and maintain Studio operations/ procedures/ systems 

  • Create client presentations (proposals, Master Plans, plant lists, landscape lists) 

  • Manage project budgets 

  • Track project invoices and estimates 

  • Manage hiring, position development, and new hire packets

  • Manage website and online content (Instagram, Pinterest)

  • Provide support for lectures/classes

  • Manage and maintain a running inventory for office supplies and garden 

  • Manage business insurance 

Financial Responsibilities (QuickBooks):

  • Track project hours and record associate time for each client

  • Track credit cards and bank statements

  • Manage accounts payable/issuing checks

  • Manage office employee invoices and payments

  • Generate financial reports

  • Manage client invoicing and receivables 


  • College degree or equivalent

  • Strong knowledge of Word, Excel, Outlook and PowerPoint

  • A strong attention to detail and an ability to manage timelines 

  • Excellent time management skills and ability to multi-task and prioritize work

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills in a fast-paced environment

  • A creative mind and collaborative spirit 

This position offers an excellent management (and learning) opportunity for those who are interested in business management, sustainable landscape and garden design, and who enjoy working with high-performance teams. Engagement will be handled on an independent contractor basis with some flexibility on hours and schedule. Compensation is commensurate with responsibilities and candidate experience.
